Frequently Asked Questions
A pole tent is supported by center poles and perimeter stakes. It can be installed on any penetrable surface where stakes can be driven. Surfaces that require drilling for anchoring may incur additional installation charges. If installed on asphalt, drilled holes can be filled with tar plugs after removal for an additional fee. Because stakes and guide ropes extend approximately 5 feet beyond each side of the tent, a pole tent requires a footprint that is about 10 feet larger than the stated tent size. Example: 20x20 tent requires 30x30 area.
A frame tent is supported by an aluminum frame, eliminating the need for center poles and providing an open, unobstructed interior. Frame tents can be installed on grass, concrete, asphalt, and other hard surfaces, making them the most versatile choice.
No. Tent sidewalls are rented separately and are not included with the tent rental unless specifically listed on your quote or rental agreement. This allows you to customize your event based on the weather and your needs. Sidewalls are available in solid and window styles and should be reserved in advance to ensure availability.
All rental requests are issued as a quote until a signed rental agreement and the required 50% deposit have been received. Customers with approved billing terms are required to sign the rental agreement for the quote to be converted into a confirmed order.
Because all rental equipment is subject to availability, reservations are accepted on a first-come, first-served basis. Once your reservation is confirmed, the requested inventory is held exclusively for your event, and we may decline other rental requests for the same equipment.
Quotes that are not confirmed within 10 days by the required deposit (or signed agreement for approved billing accounts) will automatically expire and be removed from our system.
Customers picking up and returning rental equipment are responsible for providing a vehicle that is suitable for the safe transportation of the rented items. Certain equipment may require a specific type or size of vehicle. If you are unsure, please contact an A-1 Party Rental representative before your scheduled pickup.
A-1 Party Rental does not supply ropes, straps, bungee cords, tarps, or other tie-down materials and will not secure rental items to your vehicle. It is the customer's sole responsibility to properly load, secure, and transport all rental equipment in compliance with applicable laws and safety standards.
A-1 Party Rental assumes no responsibility for any damage to your vehicle, trailer, or property resulting from the loading, transportation, or unloading of rental equipment.
The customer is responsible for clearly marking all private underground utilities and obstacles prior to delivery and installation. This includes, but is not limited to, sprinkler systems, irrigation lines, septic systems, pool plumbing, invisible pet fences, landscape lighting, and any other underground facilities not located through public utility marking services. A-1 Party Rental is not responsible for damage to any unmarked underground utilities or structures and shall be held harmless for any damage resulting from installation where such items were not properly identified.
The installation area must be clean, accessible, and free of obstructions before our crew arrives. This includes removing lawn furniture, toys, vehicles, trailers, pet waste, and any other items that could interfere with a safe and efficient installation.
Grass should be mowed no later than the Wednesday prior to your event. Deliveries and installations will proceed as scheduled and will not be delayed to accommodate lawn maintenance.
For the safety of your guests and in accordance with fire safety regulations, all open flames, grills, smokers, fire pits, and similar heat sources must be kept a minimum of 20 feet away from any tent.
The customer is financially responsible for any damage to rental equipment caused by cooking, open flames, heaters, smoking devices, fireworks, or any misuse, negligence, or unauthorized modifications during the rental period.
Standard deliveries are scheduled during A-1 Party Rental's regular business hours, Monday through Friday, from 9:00 a.m. to 5:00 p.m. Deliveries or pickups requested outside of these hours, including evenings, weekends, or holidays, may be subject to additional fees based on availability.
Customers are responsible for confirming any delivery requirements, restrictions, loading dock access, security procedures, or delivery time windows with their event venue or facility prior to the scheduled delivery date. A-1 Party Rental is not responsible for delays or additional charges resulting from access restrictions that were not communicated in advance.
All requested delivery and pickup times must be arranged before the event date. While we will make every effort to accommodate changes, last-minute scheduling requests cannot be guaranteed.
Standard delivery rates include ground-level delivery to a location that is reasonably accessible to our delivery personnel. Deliveries requiring elevators, stairs, extended carrying distances, rooftop access, or placement on floors above or below ground level may incur additional labor and delivery charges.
A-1 Party Rental offers professional setup and teardown services for tables, chairs, and pipe & drape for an additional fee.
These services must be requested at the time of booking or well in advance of the scheduled delivery date to ensure staffing availability. To ensure accurate placement, the customer must provide a detailed floor plan or layout diagram prior to delivery. If a diagram is not received before the scheduled installation, A-1 Party Rental reserves the right to place equipment at its discretion or provide delivery only without setup services.
Any changes to the setup requested after installation has begun may be subject to additional labor charges.
Unless setup and teardown services have been purchased, all rental equipment must be broken down, cleaned of food and debris, and restacked or repacked in the same manner in which it was delivered. Equipment must be placed in the agreed-upon pickup location and be readily accessible to A-1 Party Rental's pickup crew at the scheduled pickup time.
If equipment is not properly prepared, readily accessible, or requires additional labor, excessive cleaning, or return trips, additional service charges may apply.
Unless setup and teardown services have been purchased, all rental equipment must be broken down, cleaned of food and debris, and restacked or repacked in the same manner in which it was delivered. If you experience an emergency related to your A-1 Party Rental equipment outside of our normal business hours, please call 419-350-8997 and leave a detailed message that includes your name, event location, phone number, and a brief description of the issue. An A-1 Party Rental representative will return your call as soon as possible to assist with your emergency. Needing additional equipment is NOT an emergency.
